These Terms & Conditions set out how MGRY provides its marketing, event and travel services and how responsibilities, payments, changes and cancellations are handled for trade fair and exhibition projects.
Accommodation
Our accommodation services ensure high-level room availability for major international trade fairs. We focus on strategic logistics and venue proximity rather than specific commercial brands to meet global business standards. • Scope: Provision of lodging during specified fair dates; any ancillary services are excluded. • Payments: 100% security payment in GBP required at booking to lock in fair inventory; all fees are non-refundable. • Lead Times: Booking must be finalised 60 days before the event to guarantee preferential rates. • Changes: No reductions in room count or duration permitted after the contract is signed. • Relocation: MGRY reserves the right to upgrade guests or move them to equivalent standards within a 12km radius of the event. • Responsibility: Clients must provide correct guest data and secure relevant travel insurance. • Suppliers: MGRY acts as a professional procurement agent; hotel-specific house rules also apply. • Force Majeure: Local disruptions or venue changes beyond our control do not entitle clients to refunds.
Flights & Logistics
MGRY manages aviation and transfer logistics to integrate with your exhibition schedule. We operate under website procurement standards to ensure passenger safety and timeliness. • Scope: Booking of commercial flights and private airport transfers as per the agreed itinerary. • Payments: Full payment in GBP for all tickets at the time of reservation; prices are subject to airline fluctuations until ticketed. • Lead Times: Accurate passenger Manifests must be submitted at least 21 days prior to departure. • Cancellations: Tickets are non-refundable and flight changes incur administrative fees plus airline penalties. • Responsibility: Clients must ensure valid visas, passports, and health documentation for all passengers. • Liability: MGRY is not liable for airline delays, baggage loss, or schedule changes. • Force Majeure: Air traffic control strikes or weather events are governed by airline carriage terms.
On-Site Event Management
We provide professional on-site coordination to ensure operational excellence throughout the trade fair duration. • Scope: Specific hours and personnel as outlined in the project brief; overtime is billed separately. • Payments: 50% deposit in GBP required for commencement, with the balance due 30 days before the event. • Lead Times: Final project plan must be approved 14 days prior to the first move-in day. • Responsibility: Clients must provide all necessary materials, badges, and approvals on time. • Health & Safety: Joint compliance with venue regulations is mandatory for all staff and exhibitors. • Liability: Management services are advisory; MGRY is not liable for exhibitor-specific equipment failure. • Staff Expenses: All travel and subsistence for MGRY staff are recharged at cost plus 15% admin fee.
Marketing & Lead Engagement
Strategic marketing and lead generation services designed to maximise ROI on the exhibition floor. • Scope: Digital campaigns, lead capture workflows, and post-event reporting. • Payments: Ongoing monthly retainers or project fees payable in GBP; ad spend must be prepaid. • Lead Times: Campaign objectives and assets must be finalised 45 days before the event launch. • IP Rights: MGRY retains ownership of all creative assets and strategies until the final invoice is cleared. • Data Protection: All lead handling must comply with website GDPR; clients are responsible for their own data processing registrations. • Liability: We do not guarantee specific lead volumes as results depend on broader market variables.
Strategic Consultancy
Bespoke consultancy services to refine your global market positioning and exhibition strategy. • Scope: Analysis, planning sessions, and strategic documentation as per the formal proposal. • Payments: Invoiced in GBP; payment due within 14 days of invoice date. • Lead Times: Strategy sessions must be booked at least 3 weeks in advance. • Confidentiality: Both parties agree to a strict non-disclosure agreement regarding trade secrets. • Cancellations: Sessions cancelled with less than 48 hours' notice are charged at the full hourly rate. • Deliverables: Documents are for internal use only and may not be resold to third parties.
Delegation Support
Full-scale logistics for corporate delegations and large trade groups. • Scope: Group coordination, housing, and local transport for a specified number of attendees. • Payments: Staged payments in GBP; default on any stage allows MGRY to terminate the contract. • Changes: Group rates are based on minimum numbers; reductions result in price re-calculation. • Responsibility: A single lead passenger must be designated as the sole legal point of contact. • Force Majeure: Delegation-wide cancellations due to travel bans or border closures are subject to supplier recovery limits.
VIP & Buyer Programmes
Premium services for high-value stakeholders and hosted buyer initiatives. • Scope: Vetting, invite management, and concierge services for select delegates. • Lead Times: Delegate lists must be frozen 30 days before the event for security clearance. • Payments: High-priority handling fees are non-refundable. • Responsibility: VIPs must adhere to code-of-conduct standards during the programme. • Substitutions: Name changes for VIP badges are restricted and may incur significant fees.

MGRY LTD, a company registered in England & Wales, provide a comprehensive suite of exhibition, marketing, and travel solutions. These Terms and Conditions constitute a legally binding agreement between MGRY and our clients. By engaging our services, you signify your acceptance of these protocols, which are designed to protect both the professional integrity of the project and the financial interests of all parties involved in the complex environment of international trade fairs.
